What is an invoice, e-invoice, NAV data, and invoice image?

1. Invoice

An invoice is an official document that details the sale of products or services, including prices, taxes, and other costs. Every business is required to issue an invoice when selling products or services. An invoice must include the following details:

  • Invoice issue date: The date when the invoice was issued.

  • Performance date: The date when the service or product was delivered.

  • Payment deadline: The date by which the invoice must be paid.

  • Invoice number: A unique identifier found on every invoice.

  • Seller and buyer information: Including their names, addresses, and tax numbers.

  • Product or service details: A detailed list, quantity, price, and VAT.

  • Total amount: The total amount payable, including VAT.

2. E-Invoice

An e-invoice (electronic invoice) is a digital format invoice that holds the same legal validity as a paper invoice. E-invoices are equipped with an electronic signature and timestamp to ensure data authenticity and integrity.

3. NAV data

NAV data refers to the electronic reporting of invoices to the Hungarian Tax Authority (NAV). This is mandatory for all businesses issuing invoices above a certain threshold. NAV data includes the main details of the invoice but does not provide a full invoice image, making it insufficient on its own for bookkeeping.

4. Invoice image

An invoice image is the complete visual representation of the invoice, containing all necessary details of the transaction, including seller and buyer information, product or service details, and VAT. The invoice image is essential for bookkeeping, as NAV data alone is not enough.

Why is managing missing invoice images in QUiCK important?

In the QUiCK system, if an invoice lacks an invoice image, it means only the NAV data is available, but the full image is missing. This can cause significant issues during bookkeeping, as the absence of an invoice image hinders accurate accounting and auditing.

Why is it important to upload invoice images promptly?

Uploading invoice images quickly is crucial for ensuring smooth accounting processes. It ensures that all transactions are properly documented, avoiding issues caused by missing data. Timely upload of invoice images to QUICK enhances your company's financial transparency and helps prevent late fees.

How to upload invoices and invoice images to QUiCK?

Uploading invoices

  • You can upload invoices using your invoice submission alias email address.

  • Utilize the bulk invoice upload feature on the QUiCK interface.

Uploading missing invoice images

  • To view a list of invoices with missing data, go to the Transactions menu (Tranzakciók) in QUiCK, then click on the Incomplete invoices menu (Hiányos számlák).

  • Invoices that are missing images will be marked with a green label saying No invoice image (Nincs számlakép), which could be invoices that appear based solely on NAV.

  • Click on the invoice, and if you have the corresponding invoice image, use the Select button (Kiválaszt) to upload the missing image. The invoice will then be moved immediately into your incoming invoices.
